About this policy
Your farm's data belongs to you. We collect only what we need to run TaskBarn, and we never sell your data or contact information.
This Privacy Policy explains how Santiam Software, LLC ("Santiam Software," "we," "us") collects, uses, and protects information when you use TaskBarn. It covers the taskbarn.net website, the TaskBarn web app at taskbarn.app, and any TaskBarn mobile or desktop apps (together, the "Service").
By using the Service, you agree to this policy and to our Terms of Use. If you do not agree, please do not use the Service.
Information we collect
We collect information you give us, information created as you use the Service, and a small amount of technical data.

Location. TaskBarn may use your device's location to show where you are on a map. We do not save that location. When you record a field boundary, we save the finished boundary shape to your farm account. We do not store it as a record of where you, personally, went.
Employee information. If you are a farm account owner, you may enter information about your employees, such as their names, contact details, and time entries. You are responsible for having the right to share that information with us and for telling your employees how TaskBarn is used.
Analytics. We do not currently use analytics or advertising cookies. We may add usage analytics (such as Google Analytics for Firebase) in the future. If we do, we will update this policy before turning it on. We will never use advertising or cross-site tracking cookies.
How we use information
We use your information to run, support, and improve TaskBarn. Specifically, we use it to:
- Provide the Service, including syncing your records across devices and to your farm account
- Create and manage accounts, including onboarding help we provide to farm account owners
- Connect to QuickBooks Desktop through QuickBooks Web Connector when you set that up, so your time and other records can be sent to your QuickBooks company file
- Generate summaries of documents you upload (see AI features below)
- Send invoices and service messages, such as account, security, and billing notices
- Respond to support requests
- Keep the Service secure, prevent misuse, and fix problems
- Meet legal obligations
We do not send marketing email without your permission, and you can opt out at any time.
AI features
When you ask TaskBarn to summarize a document you uploaded, such as a Safety Data Sheet, our servers send that document to Anthropic, an AI provider, to produce the summary.
- We send only the document and our instructions for the summary. We do not send your name, account details, or other farm records.
- Anthropic processes the document on our behalf and does not use it to train its AI models.
- AI summaries can be wrong or incomplete. TaskBarn labels every AI-generated summary and links to the original document. Always rely on the original document, and for pesticides and other chemicals, the product label.
How we share information
We do not sell your data or contact information, and we do not share it for advertising. We share information only in these cases:
Service providers. We use a small number of companies to run TaskBarn. They may process your information only to provide services to us.

Your farm account. Information you enter is visible to others on the same farm account according to the permissions the farm account owner sets. Farm account owners can see and manage the accounts and records of their employees.
Integrations you turn on. If you connect QuickBooks Desktop, we send the records you choose to your QuickBooks company file.
Legal reasons. We may disclose information if required by law or valid legal process, or to protect the rights, safety, or property of our users, the public, or Santiam Software.
Business transfers. If Santiam Software or TaskBarn is sold, merged, or acquired, your information may transfer to the new owner. We will notify you before that happens. The new owner must honor this policy for information collected under it, or ask for your consent to any material change.
Your data, your control
Ownership. You own your farm data. We use it only to provide the Service to you, as described in this policy.
Aggregated and de-identified data. We may combine data from many farms and remove anything that identifies you, your farm, or your employees, to understand how TaskBarn is used and to improve it. We will not attempt to re-identify that data. If we ever plan to use or share aggregated data for another purpose, we will update this policy and notify you first.
Export. You can export all of your farm data at any time.
Access, correction, and deletion. You can view and edit most information in the app. To delete your account or your farm account, or to get a copy of your information, contact us at support@taskbarn.net. Employees should contact their farm account owner first, since the owner manages their account.
Retention. We keep your information while your account is active. After you close a farm account, we delete or de-identify its data within 30 days, unless you ask us to delete it sooner or the law requires us to keep it longer. Copies in our backups are overwritten within 90 days of closure. Billing records are kept as long as tax and accounting law requires.
Your state's rights. Depending on where you live, you may have additional rights under state privacy law. Contact us and we will honor any rights that apply to you.
Users under 18
TaskBarn is a business tool for farm operations. It is not directed to children under 13, and we do not knowingly collect information from them. If we learn that we have, we will delete it.
A farm account owner may create accounts for employees aged 13 to 17. The farm account owner is responsible for having any consent required by law, including from a parent or guardian, and for following applicable labor laws. We use minors' information only to provide the Service to the farm and never for marketing.
Security
We protect your information with encrypted connections, access controls, and the security features of our hosting providers. Data saved on your device for offline use stays there until it syncs. Please protect your devices and keep your password private. No system is perfectly secure, but we will notify you as the law requires if a breach affects your information.
United States only
TaskBarn is offered to farms in the United States, and your information is stored and processed in the United States.
Changes to this policy
We may update this policy as TaskBarn changes. We will post the new version on taskbarn.net with a new effective date. For material changes, we will notify farm account owners by email or in the app before the change takes effect.
